ROLE SUMMARY
We’re hiring a highly detail-oriented and technically skilled HR & Business Operations Specialist to support our internal operations team. You’ll work directly with our Director of HR & Business Operations to manage core workflows across onboarding, payroll, timesheet tracking, invoicing, bookkeeping, and compliance reporting.
This role is best suited for someone experienced in HR and finance operations, with strong Excel and Quick Books skills, and the discipline to thrive in a remote U. S.-aligned environment.
RESPONSIBILITIES
HR & Compliance:
– Coordinate onboarding for consultants and internal staff
– Track and manage employee documentation, leaves, and availability
– Maintain audit-ready records across compliance, insurance, and policies
– Assist with internal training updates and documentation rollouts
Payroll & Timekeeping:
– Collect and validate consultant timesheets weekly
– Maintain accuracy in hours and ensure on-time payroll inputs
– Track bonuses, commissions, and monthly earnings documentation
– Maintain logs for audits and insurance records
Finance & Bookkeeping:
– Prepare and send client invoices (weekly, bi-weekly, monthly)
– Track accounts receivable and follow up on payments
– Perform daily Quick Books entries (AR/AP, reconciliations)
– Maintain expense records and categorize transactions
Operational Reporting:
– Build and maintain Excel dashboards (consultant hours, onboarding, revenue snapshots)
– Assist in preparing clean data exports for Power BI financial dashboards
– Support weekly operations reviews with clear summaries and insights
Expanded Responsibilities:
– Assist with internal hiring (job posting, scheduling, follow-up)
– Research Indian tax, employment, and business compliance (as needed)
– Support internal employee engagement, training tracking, and survey coordination
– Contribute to process improvements, documentation updates, and cross-functional support
– Provide additional support to the leadership team as requested
QUALIFICATIONS
Required:
– 3+ years in HR, operations, payroll, or finance execution
– Advanced Excel proficiency (pivot tables, formulas, vlookup, data modeling)
– Quick Books experience (or similar accounting software)
– Excellent English communication (verbal & written)
– Proactive, organized, and accountable with sensitive data
Preferred:
– Familiarity with Indian employment law and local labor/tax regulations
– Exposure to Power BI or interest in learning
– Experience supporting U. S.-based teams remotely
– Background in staffing, professional services, or consulting operations
